I am pleased to welcome you as an exhibitor in The Cultural Arts Center’s Slantwall Gallery schedule. Please find below the artist’s exhibition contract and checklist for your review. Please sign (type name) and submit this contract by the date indicated on the form.

The following constitutes an agreement between The Cultural Arts Center at Glen Allen ("CACGA") located at 2880 Mountain Road, Glen Allen, VA 23060, and 
Metropolitan Richmond Artists Association
 ("The Artist").

Please read this contract carefully.

Artist exhibition checklist

Due by

  • Exact spelling of names (artist, exhibition, etc) for publications
  • Exhibition Title to be promoted in press release, season brochure, gallery announcements, etc.
  • 5-10 digital images, 300 dpi in JPEG format. Photo files should be named in this format: Title – Artist Name. Photos should be representative of what will be seen in exhibit for early promotions.
  • A short statement about the exhibition for Center Season brochure (brief 2-3 sentence description)
Due 3 months out from exhibit start date (or sooner):
  • Artist biography and/or resume
  • Artist’s statement
  • Requests for any unique exhibition requirements or materials for review (i.e. unique lighting or display requirements)
  • Any quotes or statements about artist, artwork, exhibit that can be used in publicity of exhibit.
Due 1 month out from exhibit start date:
  • Photos of each work of art to be displayed in the exhibit uploaded by artist via “Artist Image Upload” link provided after completion of contract. These images will be used to promote the exhibit on the Center’s website through a gallery slideshow. Images should be JPEG format of 300 dpi or higher. Slideshow is used to help increase gallery sales and encourage website visitors to see the show in person.
  • Inventory/Label list of all works to be exhibited emailed to programs@artsglenallen.com. List should include Title of work, medium, size, artists name (for multi-artist shows), and sales price (commission included).
  • Artist Q&A form completed (provided after completion of this contract)
Due 2 weeks prior to delivering artwork:
  • Completed W-9 form on file with Visual Arts Manager
  • If necessary, a completed “Artist Image Edit Request” form. Images will be ready to preview, and edits may be requested three business days after The Artist has uploaded them. If CACGA does not receive edits by 2 weeks before the start of the exhibit, it will be assumed all information is correct and artwork images will be displayed on CACGA’s website.

EXHIBITING ON THE SLANTWALL GALLERY:

1)
The Slantwall Gallery is located in the main lobby of CACGA, across from the front of the information desk. As its name suggests, the wall includes a slant that takes the wall from 83 in. tall at the highest end and 40 in. tall at the short end. This gallery space spans a width of 40 ft. Slantwall artists are invited to utilize additional wall space by hanging work down the length of the lobby hallway. An additional 22 ft. in space is available through this area. Please see attached gallery plot for Slantwall specifics.

2) Hanging/Take Down: Slantwall artists are required to hang their own work and to provide necessary hanging materials (i.e. hammer, nails, etc.) Any special hanging needs should be discussed with the Visual Arts Manager prior to scheduling an exhibition. All shipping, transport, delivery and collection of works are the sole responsibility of the artist.

Work may not be removed from CACGA's galleries until the end of The Exhibition, sold or unsold. All works offered to The Exhibition must remain hanging throughout the entire scheduled event.

Pick up of work should be no later than 10 days from The Exhibition’s end date. A storage fee of $25 per day will be charged for any work left after 10 days past the exhibition end date.

3) All work shall be of the same high quality as submitted by The Artist in connection with invitation to exhibit. Work should be representative of the past three years of The Artist’s career. Artwork may not have been exhibited at CACGA in any previous exhibitions. CACGA has the right to refuse any work.

4) Gallery Labels/Image Display on Website: The Artist will upload their works using an online form provided after completion of this contract. The information provided by The Artist in this form (title, artist's name, medium, size, sale price, etc.) will be used to display all works on CACGA's website and for creation of gallery labels for the exhibit. These labels will be printed as given to CACGA.

5) Sales: Works may be made available for sale, though not required. Any works sold through the duration of The Artist’s exhibition will be subject to CACGA’s gallery commission split of 30/70, with CACGA receiving 30% and the artist receiving 70% of each sale. Any sales inquiries received by The Artist of work on display with CACGA should be directed to CACGA for completion. No exhibited artwork may be removed due to outside sales while CACGA is representing The Artist/work.

The Artist will remit to CACGA a commission of 30% of the sales price of exhibited artwork sold within 60 days of the conclusion of The Exhibition if such sale results from or is otherwise attributable to The Exhibition.

6)
Artists are also invited to offer art and related items (prints, cards, books, etc.) on a consignment basis in CACGA’s gift shop during their exhibition dates. All sales through the gift shop are done with a 40/60 percent commission split with 40% to CACGA, 60% to the artist. Please notify the Visual Arts Manager in advance if products will be delivered for the gift shop. An inventory list with prices should be received before or at the time artwork is delivered for exhibit.

7) Promotion: For promotional purposes, The Artist shall supply CACGA with the following information with the understanding that it may be used online and in print publications: Title of Exhibit; Brief 2-3 sentence description of work, JPG images, of select works representative of work to be included in the show. This information will be provided by The Artist through an email sent to programs@artsglenallen.com by:

Additional information pertinent to The Exhibit or The Artist, including a web address for artist’s website, may be included with promotional materials.

8) Insurance: CACGA will provide insurance covering loss, theft or damage due to malicious intent. CACGA provides insurance for work within the gallery for 65% of stated retail value of work, with a maximum of $200,000 for The Exhibition as a whole. It is The Artist’s responsibility to advise CACGA of any need for supplemental insurance coverage. To be valid for payment under the Gallery’s insurance policy, stated retail value must be appropriate for artwork of its type and/or supported by previous arm’s length transactions.

9)
Professionalism: All works must be presented in a professional manner and be ready to hang upon arrival. Any works that are damaged, dirty or improperly hung may be removed or rejected at staff’s discretion. Please also note that we are a family-friendly gallery and all works exhibited should be viewable for all ages.

10) Marketing: All gallery exhibits are promoted in our annual Center Season brochure that is distributed to our mailing list in late Spring. Exhibits will be promoted through CACGA’s website (www.artsglenallen.com) throughout the exhibition month to include a slideshow of artwork on display. Images of all work to be displayed should be uploaded to the online "Artist Image Upload" online form at least one month out from the hang date to allow marketing time to create the slideshow, which encourages visitors to the exhibit as well as sales. A link to this form will be provided after completion of this contract.

A press release/calendar listing will be distributed to various media sources for possible pick-up. Unfortunately, there is no guarantee that a media source will run each press release or calendar listing they receive. These pieces are published at the media’s discretion. CACGA will also announce the upcoming exhibition in our monthly e-mail blast and through various social media outlets.

11)
 Cancellations: It is assumed that after a signed contract has been received by CACGA’s Visual Arts Manager, there should be no reason for an exhibit’s cancellation. In extreme circumstances, an artist may discuss cancellation with the Visual Arts Manager no less than six months out from the exhibits hang date. Cancellation will be at CACGAs discretion.

Rights to Reproduction
The artist gives CACGA the right to reproduce and distribute images of The Artist’s work for purposes of promoting and documenting The Exhibition. Reproduction may be in print, video or on CACGA’s website.

Sales & Commission
The Cultural Arts Center at Glen Allen will administer all sales during The Exhibition. The Gallery will retain a commission of 30% of the sales price of all artwork sold during the Exhibition. Artist will be paid 70% of any sales price by CACGA no later than 45 days following the conclusion of the Exhibition of the Gallery’s receipt of payment, whichever is later. Sales tax will be collected as required by Virginia state law. The artist will remit to CACGA a commission of 30% of the sales price of exhibited artwork sold within 60 days of the conclusion of the Exhibition if such sale results from or is otherwise attributable to the Exhibition.
